An AI package for email, documents, and administration is complete only when one case runs from inbox to entry. Compare offers, limits, and costs.

Buy an AI workflow package for email, documents, and administration as one bounded work chain: from incoming email through its associated document to a checked result in your administration. Costs depend more on where the package stops and how much review remains than on the monthly price. Why do email, documents, and administration belong in one AI package?

They usually represent three forms of the same assignment. A supplier emails an invoice with an explanation. The invoice belongs alongside the order and project. The end result is a proposed entry for the correct project. Dividing this among three separate tools creates two handovers. Context can disappear at each: the email explanation no longer accompanies the invoice when it reaches the accounting software.

Buyers show where this goes wrong. An executive assistant describes an email that “gets forwarded to one of our personal inboxes, and is subsequently closed out from the shared mailbox”. Which types of AI packages for email, documents, and administration exist?

Four types exist: help inside office software, automation inside accounting software, workflow building tools, and configured services. Each handles part of the chain. Which part varies.

Office software has grown beyond writing assistance. Google says: “Google Workspace Studio is now generally available with all Business and Enterprise Workspace plans.” Google, September 30, 2026 On September 2, 2026, four steps were added: copying files, moving files, a Chat reply, and an email reply. Accounting packages, such as Exact and Moneybird, extract invoice data and prepare entries. The next section covers this.

Building tools, such as n8n, Make, and Power Automate, supply components. You handle or purchase setup, exception handling, and management.

An undemonstrated feature is not automatically absent. The public page simply does not show it, so ask in the quote. The broader choice is in an AI agent platform versus standalone AI tools.

What does your accounting software already do with invoices and documents?

It often extracts and prepares invoices without a surcharge. Exact says, translated: “Automatic invoice processing is included as standard in the editions of Exact Online Boekhouden.” Exact, September 30, 2026 Moneybird says, translated: “Other features such as sending invoices, scan and recognition, or Peppol are included in your package and cost nothing extra.” Moneybird, July 1, 2026

Moneybird also learns from corrections, applying adjustments to subsequent similar documents. It identifies suppliers using their Chamber of Commerce number, VAT number, IBAN, and email address, among other fields. Incorrect master data causes extra contacts. An extra AI package therefore earns its return on work before, after, or alongside bookkeeping. Three places:

  1. Documents that do not arrive automatically. A Dutch entrepreneur says about portal invoices, translated: “My point is: they do not arrive automatically.” A reply asks: “Also 2FA…?” (translated). r/FreelanceNL, about three months old on September 30, 2026 A package starting when the invoice reaches the inbox does not solve this.
  2. Context outside the document. Email agreements, orders, projects, and files.
  3. The intermediate layer. An accounting worker describes about 800 monthly invoices from roughly 130 suppliers. Excel input is already automated; the question concerns extraction and validation. What does an AI package for email, documents, and administration cost?

On September 30, 2026, costs range from $9 monthly for building tools to over €2.000 annually for a configured basic service, before extensions and your review time. This is no ranking: prices buy different things. Count existing email and accounting subscriptions only when upgrading is necessary.

The SenseTask and Spojit pages examined give no comparable total price. We omitted Google Workspace: its Dutch pricing page showed dollar amounts and a promotion starting October 14, 2026. Google Workspace, September 30, 2026 Dollars have not been converted.

Calculate two first years. AutomatischWerk: €495 + 12 × €149 = €2.283 excluding VAT, before extra workflows, connections, or users priced by quote. Bombos if you continue: €2.000 + 9 × €1.000 = €11.000, then €12.000 annually. The large difference matters alongside what the agreement includes. The rest of this page addresses that.

Why does an AI package’s monthly price tell you so little?

Every provider uses a different unit: user, bot, execution, credit, or document page. An n8n execution is one workflow run with unlimited steps. n8n, September 30, 2026 Make counts credits per action. Three calculations illustrate this. Volumes are assumptions; rates come from the sources above.

  • Pages rather than invoices. 1,000 invoices averaging two pages cost Microsoft 1,000 × 2 × $0,08 = $160 monthly for analysis, excluding licensing, review, and reprocessing.
  • Credits rather than cases. Eight Make actions per case mean 10,000 credits cover at most 1,250 cases. If 10 percent need one retry, that becomes about 1,136, before extra AI usage.
  • Credits changing on renewal. From November 1, 2026, new or renewed Microsoft licenses no longer include AI Builder credits. Earlier contracts retain them until contract end. Microsoft Learn, September 8, 2026

Buyers sense this. An r/SaaS user asks about an AI subscription: “Am I going to hit a limit in week two?” r/SaaS, about three months old on September 30, 2026 Always ask what happens when credits run out: does work stop, or does another bill arrive?

A second trap is an endpoint that does not finish the task. A public n8n template retrieves Gmail PDFs, stores them, and puts extracted fields in Google Sheets. n8n, September 30, 2026 It stops there. Its maker says: “This workflow is an automation aid, not a replacement for legally compliant fiscal or document-retention systems.” Moving from mailbox to spreadsheet does not complete administration.

How much does review behind an AI package cost?

Review often costs more than software because someone must resolve exceptions and sample work. Assume 1,000 monthly cases, one review minute per case, 10 percent exceptions needing five extra minutes each, and an internal rate of €40 hourly. That is 1,000 + 500 minutes, or 25 hours and €1.000 monthly. At 2 percent exceptions, it is 1,100 minutes and €733,33. The difference is €266,67 monthly, slightly over €3.200 annually.

That exceeds the cheapest configured basic service’s entire first year (€2.283). In this example, fewer exceptions repay a package through review time before cheaper licensing does. It predicts no vendor result; it shows where to measure.

Measure two things separately: correctly read fields, and correct arrival in the target system. A perfectly read invoice for the wrong customer is administratively wrong. Measure the chain: four independent steps each 98 percent correct yield 0.98 × 0.98 × 0.98 × 0.98 = 92.24 percent wholly correct cases. Real errors often depend on one another, so measure the chain’s outcome directly.

Include duplicate processing. An n8n user describes two identical emails causing “the invoice total ends up being double what it should be.” n8n Community, January 15, 2026 This is one reported case, rather than an error rate, but exactly the delivery test you need.

What are you buying: three AI features or one completed case?

Our position: a package for email, documents, and administration is complete only when it tracks the same case from arrival to a checked result. Its value lies in eliminating unclear handovers, beyond putting three AI features on one bill.

Compare the facts. Exact and Moneybird already include invoice extraction. A public workflow stops at a spreadsheet before bookkeeping. The configured basic service covers one main workflow. Real users ask about missing documents, status lost between mailboxes, and duplicate email processing. Our calculation makes review costlier than licensing.

For a small or midsize business, the resulting measure is cost per correctly handled case = all chain costs (setup, software, usage, review time, recovery, and necessary extra licenses) divided by cases correctly delivered into the target system. Failed runs do not count as delivered cases; their costs do count. Cheap building tools often lose their advantage because setup and exceptions fall to you. A pricier offer must show less review. This is our synthesis, rather than market research.

Which boundaries should an AI package quote record?

Record where the chain starts and ends, and how exceptions are handled. Two examples explain why. Paige says of mailbox integration, translated: “Outlook today, Gmail and IMAP soon.” Paige, September 30, 2026 Microsoft contradicts itself: the shared mailbox page supports summaries and drafts but not yet triage and sending, while its general FAQ says: “Copilot scenarios in Outlook are only available on a user’s primary mailbox.” Microsoft Support, September 30, 2026 Request a demonstration using your actual mailbox type and action.

Where is this heading?

Office software is moving from assistance to execution at a measurable pace. Google announced four new Workspace Studio actions on September 2, 2026. Gmail rollout began September 14, taking one to three days to appear. Administrators can restrict actions and require approval for external sharing. Google Workspace Updates, September 2, 2026 Microsoft shifts AI costs from included credits to separate usage from November 1, 2026. One release cannot establish an annual pace, and no reliable package price series exists. The direction is clear: standard work moves into your existing software, and additional packages must demonstrate what you still pay for.

Our expectation: by late 2027, at least two of the four configured or document-focused chain providers examined (AutomatischWerk, Paige, SenseTask, Spojit) publish an offer stating together the included workflow, volume, and exception handling. On September 30, 2026, none shows all three together publicly.

The reasoning: if Exact, Moneybird, Google, and Microsoft include extraction and simple actions, an additional package cannot sell on features alone. It must specify work boundaries. Public buyer confusion about credits pushes the same way.

This expectation fails if volumes remain too unpredictable to price bundles, customization keeps dominating, or providers keep boundaries only in quotes. We will test it by December 31, 2027, on the same four public package pages. Fewer than two complete offers means we were wrong.

What can an AI package for email, documents, and administration not yet do?

Several limits remain, regardless of sales pages.

  • No independent comparative test exists. Accuracy figures from SenseTask and others are vendor claims. We tested no package in our own environment. This page uses public information.
  • Unflagged does not mean error-free. Exception checks catch what the system itself doubts. Only sampling automatically accepted work catches silent errors.
  • Retrieving documents differs from reading them. Supplier portal invoices behind two-factor authentication do not arrive automatically. Good extraction scores cannot help an absent invoice.
  • Faster preparation can grow the approval queue. More proposals need more approvals. Arrange absence cover and maximum waiting time.
  • One bundle means one outage for three processes. When email, documents, and entries wait on one chain, you must see unfinished cases. A technical error log alone is insufficient.
  • An incorrectly learned rule propagates efficiently. Wrong contact links repeat as fast as correct ones. Keep correction reasons and who confirmed them.
  • Switching requires more than export. Request contact relationships, statuses, approval rules, and error handling alongside files.
