Why is ChatGPT or Copilot alone not enough?
ChatGPT or Copilot alone is not enough because they are good at what you give them, such as summarizing an email, but are not part of your workflow. They do not notice incoming email, find the customer in Exact Online, Dutch accounting software, or AFAS, a major Dutch business software maker, or prepare work for approval. Your people still do the looking up and retyping.
Why is ChatGPT or Copilot alone not enough?
ChatGPT or Copilot alone is not enough once your work is a stream rather than a question. An assistant helps with the piece you give it. A stream is work that arrives every day on its own, needs information from your software, and then has to go back into that software. An assistant does not independently do the noticing, looking up, retyping, and checking between those steps.
They can do a lot. Copilot in Outlook drafts an email that you review and send yourself. It also summarizes a long thread with references to individual emails. ChatGPT uses its Outlook app to find messages in your inbox and draft a reply. Its SharePoint app finds documents you already have access to.
Claude connects to Microsoft 365 and has an Outlook add-in that prepares a draft you send yourself. See what Claude can do on its own for a small business. The gap is the step into your own software. Since August 25, 2026, ChatGPT Work can click inside web software after you log in. AFAS only allows certified AI connections, while Exact says nothing about it. This is examined in can ChatGPT operate your accounting software.
What is the difference, in three points?
The difference is where the work starts and ends, rather than how well the model writes. An assistant starts with your question and ends with a text. An AI agent starts with incoming email and ends with a proposal waiting for Approve.
| What | ChatGPT or Copilot | Bombos |
|---|---|---|
| Work arrives without someone presenting it | Someone opens the email and asks for a summary or draft. Whatever nobody opens remains untouched. | Bombos reads the email, receipt, or message when it arrives and adds the work to the list of proposals. |
| Information is found in your software and written back after approval | You find the customer in Exact Online or AFAS, or log in so ChatGPT Work can click on the screen. You retype the result yourself. | Bombos finds the customer, order, or file in your software and writes back after your approval. |
| Every step waits for Approve, can be reviewed afterward, and corrections are remembered | Approval differs by product and setting. In Copilot you send the message yourself. In ChatGPT you can grant permission for each website or for all websites at once. | Nothing goes out without Approve. You can review every step afterward. A correction becomes the rule for next time. |
It is the difference between better text and less work. Take the status question that comes up every day. Writing the reply is the easy part. The work is in looking things up: the status in the software, the latest email, and the coworker who knows. An assistant speeds up writing. An AI agent removes the searching so the same team handles more questions.
How do you use ChatGPT, Copilot, and an AI agent alongside each other?
You use them alongside each other by separating individual questions from streams. For each piece of work, ask: does it start with someone wanting to know something, or with something coming in?
ChatGPT or Copilot is enough for individual questions and texts: summarizing a thread or drafting an initial response to an angry customer. The assistant does not monitor what needs to happen afterward until the complaint is actually resolved.
Complaints that fade after the first replyIt is not enough for a recurring stream. An assistant only sees a quote request arriving late on Friday when someone opens it on Monday. Then the customer still needs to be found in the software.
Quote requests arriving outside office hoursYour people keep ChatGPT or Copilot for texts and individual questions. You handle recurring customer questions as a stream: Bombos prepares the reply with the actual information from the software, and you approve it.
The same ten questions that come back every weekStart with the stream where looking things up takes the most work and the outcome is easy to check. Status questions are a good start: the answer is spread across software and email, and you can immediately see whether it is correct.
The status question that comes up every day
That first stream is the beginning. Bombos visits to set it up together and interviews your people about knowledge that currently lives only in their heads. Your team then teaches Bombos the next task without needing technical skills. You do more work, at a higher quality, with the same people. More questions like these are in the guide to AI in your business.
What does it cost and what does it deliver?
The pilot costs 2,000 euros for the first three months, with Bombos alongside you, then 1,000 euros per month. You can keep your ChatGPT, Copilot, or Claude subscription alongside it.
What it delivers is the disappearance of work between email and software: noticing, looking things up, and retyping. Your office team notices first because they start with a proposal instead of an empty email. Judgment remains: the price, the exception, and the customer conversation. For less than half a day per week of the employee you would otherwise hire, your team can handle more work. The full calculation is in what AI costs for a small business.
What does the person do?
The person decides. Bombos prepares the work. A message only goes to a customer, or an entry gets posted, when someone on your team clicks Approve. Each proposal shows the reason and source: which email, which customer in the software, and which earlier agreement.
You can look back at every step to see what happened and why. At first, Bombos submits everything for review. For internal work, such as looking things up, checking, and preparing, you decide how much Bombos can do ahead of time. Customer messages and payments always wait for approval. Read why approval should be a boundary rather than a setting in should an AI assistant send email on its own.
When is ChatGPT or Copilot alone enough?
ChatGPT or Copilot alone is enough when there is no email stream being entered into software by hand. If your team mainly writes texts and notes, an assistant helps directly.
The same applies when everything already happens inside the software and nobody retypes anything. In a very small business, there is usually too little work between email and software to set up an AI agent for it.
Frequently asked questions
Can Copilot in Outlook send email itself?
According to Microsoft's guide, Copilot in Outlook creates a draft that you review. You then click Send yourself. The draft is only created when someone asks for it. If nobody opens the email, there is no draft.
Can ChatGPT work in Exact Online or AFAS?
ChatGPT Work can click inside web software after you log in. AFAS only allows certified AI connections. Exact says nothing about an outside AI logging in. The work also still starts with your instruction.
Do we need to stop using ChatGPT or Copilot if we use Bombos?
No. They remain useful for individual questions, texts, and summaries. Bombos handles the incoming streams that need to reach your software.
Does Bombos learn from corrections?
Yes. When you change a proposal, that correction becomes the rule for next time, including for your coworkers. Without those corrections, Bombos does not learn how you do things.
Can approval in Bombos be turned off?
The boundary for customer messages and payments is always on. Only Bombos can turn it off, at your explicit request and at your own risk.
Do I need technical skills to teach Bombos a new task?
No. Bombos visits to set up the first task together. Then you teach Bombos the next task as you would explain something to a new coworker.
