What does it cost to automate administrative processes with AI?

Compare actual AI prices, setup, review, and employer costs. Includes an annual budget and a calculation of when automation pays off.

Automating administrative processes with AI costs from a few dozen euros per user per month for software to hundreds of euros per month plus setup for outsourced work at the providers examined below. Total costs include purchase, setup, usage, maintenance, and human review. Bombos charges € 2.000 for a three-month pilot, then € 1.000 per month.

A license price does not tell you what a completed invoice, order, or case costs. Below are Dutch and international prices, a full example budget, and a comparison with an extra administrative employee. Prices were checked on September 30, 2026. Calculations are our own examples, rather than customer results.

What do providers charge for administrative automation?

The price depends on what you buy: tools for employees, software that executes steps, or a provider that sets up the process for you. This price list is not a ranking. The products do different work and require different amounts of your own time.

These are vendor prices from their own commercial pages. They demonstrate the offer, rather than its quality or return. Dollars remain dollars. Converting without an exchange-rate date creates false precision. Taxes, contract length, and usage limits belong in the price comparison.

Why does a twenty-euro license not mean twenty-euro automation?

An AI license gives access to features. A working administrative process also needs instructions, access to files, review, and agreements about exceptions. Who does that work determines whether your main costs are software or staff.

Twenty regular Copilot Business licenses cost 20 × € 18,20 × 12 = € 4.368 per year, on top of the eligible base subscription. The temporary € 15,60 price makes that € 3.744 in the first year. Microsoft says the promotion runs from July 1 through December 31, 2026, and only applies to the first year. Budgeting solely on the promotional price understates subsequent costs. A growing company also does not need to buy twenty user licenses for one administrative task. Start with who actually uses the software. Conversely, a task does not disappear from your team because everyone has an assistant. Someone may still collect files, transfer answers, and check whether the entry is correct.

Also look at what your current software already handles. For a task within one accounting package, an existing feature may be enough. The distinction is explained in AI in AFAS, a major Dutch business software maker, or Exact, Dutch accounting software, or an AI agent alongside it. What do credits, executions, and bots mean for the bill?

You can only compare usage prices after expressing the same administrative process in each provider’s billing unit. One invoice does not automatically mean one paid action.

n8n counts a complete workflow execution, with unlimited steps within it. Make describes ordinary module actions as separate credits. Salesforce charges 20 Flex Credits for a standard agent action. These units do not measure equal amounts of work. n8n, Make, Salesforce, read September 30, 2026.

Assume 1.000 cases with five standard Salesforce agent actions each. That needs 100.000 credits: 1.000 × 5 × 20. This usage costs $ 500. Ten actions per case doubles the amount. Setup, other licenses, and extra data processing are not included in that budget. This is a calculation based on a price, rather than a tested case workflow.

Concurrency matters in RPA. Microsoft states that one bot on a machine executes one unattended desktop flow at a time. Parallel flows need more bots. The € 130 per month therefore does not buy unlimited processing capacity. Microsoft, September 30, 2026

Ask what you pay when a task needs to run again, an attachment is missing, or credits run out. A low usage price helps little if someone needs to investigate unfinished tasks every day.

Which hidden costs belong in the budget?

The total cost of administrative automation includes the external bill and the work left inside your business. Use these six items to make a quote complete:

  1. Preparation: define the task, collect examples, clean up duplicate customer information, and record decision rules. Budget the time of the person explaining the work.
  2. Setup: connections, permissions, test cases, approval steps, and recovery from a partially executed task. State exactly what must be ready at delivery.
  3. Software and usage: licenses, model usage, document recognition, storage, and potentially a higher subscription tier for your existing software. Count only new costs when existing licenses will remain anyway.
  4. Review and exceptions: assess proposals, request missing information, fix wrong files, and manually finish stalled work.
  5. Maintenance and changes: changed business rules, new document types, outages, permission management, and retesting after a change.
  6. Handover and stopping: export information and work instructions, revoke access, and hand the task to someone else. Even a cheap start can end expensively if the knowledge stays with one builder.

A concrete example: Safactory excludes third-party subscriptions and mentions two weeks of monitoring after delivery. That is a different cost allocation from an ongoing maintenance offer. Safactory, September 30, 2026

Do not count an item twice if it is demonstrably included in the quote. “Implementation included” does not yet tell you how many hours your own employees need to spend. For that division of work, see building yourself or hiring an automation agency.

What does a full annual budget for one process look like?

A full annual budget adds setup, twelve months of operation, and all remaining human work. The fictional calculation below shows how it works. Every process number and amount is a chosen assumption, rather than a market average, quote, or Bombos result.

Suppose a company processes 1.200 administrative cases per month. Each takes six minutes by hand. The internal cost is € 35 per available working hour. That means 120 hours and € 4.200 per month. Existing software stays the same in both situations and is therefore outside the comparison.

After implementation, 80% is usefully prepared in this example. Each of those 960 cases needs one minute of review. The other 240 cases still take six minutes on average, including identifying the exception and recovery. Maintenance also takes four hours per month.

The manual baseline costs 12 × € 4.200 = € 50.400 in capacity. The calculated difference in year one is € 18.620. Per completed case, the new approach costs € 31.780 / 14.400 = € 2,21, including implementation. The manual approach costs € 3,50.

That outcome assumes twelve months of full operation, no volume growth, and no extra damage from errors. If implementation takes longer, count transition months with duplicate work separately. Paid employee hours also do not automatically become saved expenditure. That distinction determines whether this is an investment in capacity or a cash saving.

When does administrative automation pay for itself?

Automation pays for itself financially when avoided spending and additional earned margin together exceed the new costs. Freed time only produces money if you use it.

In the calculation, 40 hours of case work and four hours of maintenance remain each month. That frees 76 of the original 120 hours. At € 35 per hour, that represents € 2.660 of capacity. Subtract € 700 in external monthly costs: € 1.960 in net capacity value per month. The one-time € 4.900 is recovered in 2,5 months after full implementation, only if that value is actually realized.

If salaries, staffing, and revenue stay the same, the direct cash saving on wages is zero. You are buying room for growth, shorter turnaround times, or lower pressure. That may justify the investment, but it does not mean a lower wage bill.

Less overtime or delayed hiring does create an avoided expense. For extra sales, count the additional margin after added costs, rather than all revenue. Measure the whole task. For retyping purchase invoices, finding the right project belongs in the time calculation just as much as entering and correcting.

How sensitive is the outcome to volume and exceptions?

The return from administrative automation changes sharply when fewer cases are usefully prepared or review takes longer. You can make that visible before buying by recalculating the same budget.

Source: our own calculations using the same assumptions as the annual budget. The useful share is not a language model accuracy score. An answer may be linguistically correct while still using the wrong file.

With 80% useful cases, each incoming case saves four minutes on average: six minutes originally, compared with two minutes of remaining work on average. That represents € 2,33 at the assumed hourly rate. The fixed monthly cost is € 700 plus € 140 for maintenance. The operating break-even point is therefore 360 cases per month, excluding recovery of setup costs. Recovering those costs within twelve months raises this to about 535 cases per month.

This threshold only holds if the case mix and costs stay the same. More complicated cases, higher usage costs, or longer review move it upward. A separate calculation for email streams is in what automating email handling costs.

What does an extra administrative employee cost including employer costs?

An extra employee costs more than gross pay, but there is no single collectively agreed salary for all administrative roles. A verifiable example is the Dutch Tire and Wheel Industry collective labor agreement: the reference administrative employee role belongs to group C. Monthly amounts from July 1, 2026, range from € 2.609,66 at step 0 to € 2.953,03 at step 8. The agreement mentions 8% vacation allowance. This is an industry example, rather than salary advice for an accounting firm. Staatscourant, February 24, 2026

KVK uses about 30% on top of gross pay for staff costs in an initial operating budget. With that broad uplift, the industry example becomes € 3.393 to € 3.839 per month, or about € 40.711 to € 46.067 annually. We multiply the July monthly salary by twelve and 1,30. The 30% is a budgeting rule of thumb. Do not add vacation allowance again on top of that combined uplift. For a real quote comparison, replace it with actual vacation, contribution, and pension costs, plus recruitment, onboarding, and workspace. Paid leave reduces available working hours. Do not count the same salary twice.

An employee also does more than one automated task. Compare the set of tasks that actually disappears or grows, including human review. Placing € 12.000 per year of automation next to a € 45.000 employee does not by itself demonstrate a € 33.000 saving. Read more in hiring someone or using AI.

Which price comparison do we consider decisive?

Our position: the most important price for administrative AI is the cost per correctly completed case, including review and recovery. Cheap processing that needs a lot of checking may be more expensive than a higher software price with less remaining work.

That follows directly from the calculation. One extra minute of review for 960 cases costs 16 hours, or € 560 per month. That outweighs a € 100 difference between two subscriptions. This relationship follows from the chosen assumptions. It is not a measured advantage of one vendor.

Have two providers process the same cases, including unusual documents. Count correct completions, all human minutes, and the external bill. Divide combined costs by the number of correctly completed cases. Work still in a queue does not count as completed.

The logical buying question becomes concrete: how much does it cost to finish this amount of work at this quality? A growing company with little administrative repetition may benefit less than a smaller business with many identical cases.

Where is this heading?

The price of model usage does not automatically fall as fast as the price of a working administrative process. Stanford reported that the usage costs of systems at GPT-3.5 performance fell by more than a factor of 280 between November 2022 and October 2024. That is a historical series at a fixed performance level, rather than a prediction for the most expensive models or current administration. Stanford AI Index 2025, read September 30, 2026

The economic consequence can be calculated. Suppose model usage is 10% of your total process costs. Even halving it only lowers the total by 5%, if all other items stay the same. Less review and simpler maintenance may then be worth more than a cheaper model.

Our expectation: by the end of 2027, demonstrably low review and maintenance costs will matter more in purchasing administrative AI than access to a specific model. Cheaper models make other costs more visible. This expectation fails if reliability barely improves, or more complicated tasks make usage and supervision grow faster than technology becomes cheaper.

What can this cost comparison not yet prove?

This comparison does not prove a return for your business. Public prices do not provide measured review time, damage from errors, or quality on your cases. The tables therefore explicitly combine vendor facts with separately identified calculation assumptions.

A system may process quickly while still posting the wrong invoice. Recovery costs in the example cover human recovery work, rather than automatically covering all consequential damage. A successful trial on simple cases also says little about month-end closing and workload peaks. The trial protocol is in testing an AI agent before you automate.

Bombos does not have public customer case studies with measured review, recovery, and maintenance time. We therefore do not attach a time-saving percentage or guaranteed payback period to the price. Without that measurement, € 1.000 per month is also just one item in your budget.

How does Bombos approach this?
