At 4:50 pm on Friday, another request comes in and you already know it will wait until Monday. Before replying, you look up the customer and address and read what needs to be done. If information is missing, you first ask the customer for it. In QuickBooks, you copy the details from the email into the draft quote. Reading always comes before pricing.

Where do you see that?

The Friday afternoon request is on the list of proposals in Bombos. At the proposal you see which customer it concerns, what was asked and why the draft reply has that content. You read the request with the customer details found next to it and adjust the question about the visit address in the draft reply. The quote outline stays with that same request, along with the work description you just checked.

If the reading is finished, the proposal says "ready for you". If a detail is missing that you need to decide on, it says "waiting on your input", with the question attached. That way you can tell a reply you can simply check apart from a quote that still needs real choices. The list does not replace the quote in QuickBooks: you still work out the price and the offer there. Every action with an effect outside Bombos is recorded in a log you can view.

How does it start?

In the first week we look together at a quote request the way it actually arrives for you. The conversation about the quote request and the setup takes about an hour. We choose the inbox, discuss where the customer details live and set down what belongs in a reply to a request. A request without a work description, for example, should first get a question asking for clarification. You also decide who checks the drafts and who works out the quote in QuickBooks.

After that, Bombos starts the first task at the "proposing" level: the reading and the reply are ready for your review. You keep your own inbox and package; nothing has to move and you do not need training. A correction to a reply becomes the rule for the next request. Without those corrections, Bombos does not learn how you answer a quote request. Once a task type has gone well for a while, you decide whether it moves to "run after approval" or "run on its own". Customer messages still need your approval. The next time a request like that lands on a Friday afternoon, the reading is already done before you even think of it.

What can Bombos not do here today?

Bombos does not get a fully priced quote in QuickBooks ready from a single request today. It gathers details and prepares text. You decide on the work, the price and the offer, and none of that goes to the customer without your approval. If the information needed to set a price is missing, that stays an open question. A reference to earlier work is also not permission to offer that same price again.

A price agreement that was only made over the phone with this customer and was never written down anywhere is something Bombos cannot look up. That is why Bombos can interview you: it asks which fixed prices or agreements apply to recurring jobs, so the next quote can take them into account.

Bombos never sends a message to a customer without approval from a staff member first. When answering a quote request, this technically enforced limit applies to every channel. Only Bombos can switch it off, at your explicit request and at your own risk. When in doubt, Bombos puts the request in front of you instead of guessing. A proposal can be wrong or incomplete, even when the reply sounds convincing. So check both the customer details and the content before making an offer. The Monday request is waiting for your expertise; the reading is already done by then.
