At 4:45 pm, a customer cancels tomorrow's appointment, leaving a gap in your technician's day. You record the cancellation, check where the technician will be working and search for open work or a customer from the waiting list that fits. A nearby address is only a candidate. The customer must be available and the drive takes time. That is why the gap usually stays empty.

When someone cancels, a candidate is ready. Bombos recognizes the message, finds the appointment and reads the open work in your schedule and waiting list. The proposal shows the reason, customer details and the travel time your team allows. Your rules determine what counts. You decide whether the job fits, edit the draft message and send it yourself. After your approval, the change enters your schedule.
After three months, a canceled hour no longer stays empty by default. For every cancellation, a replacement is ready from your schedule or waiting list, and your dispatcher chooses instead of searches. The same technicians complete more jobs. Where do you see that?
You see it on a list in Bombos: the canceled appointment, and next to it the work that qualifies to fill it. At the candidate job you see the details found and the reason for the proposal. You read the work from the waiting list next to the technician's appointments and adjust the replacement proposal. The draft email belongs to that same choice, so the question to the customer matches the time you are reviewing. Your scheduling software does not have to be open beside it.
"Ready for you" means you can review a replacement. If, for example, the time the job takes is missing, it says "waiting on your input" with that question attached. You can adjust or reject a proposal; an empty slot does not have to be filled at the cost of another appointment. The log shows every action with an effect outside Bombos, so you can look back at what was done with the replacement proposal.
How does it start?
It starts with a conversation of about an hour in the first week, at your own office. We go through a cancellation and your open work: where those messages arrive, which package holds the schedule and where the waiting list lives. You explain which jobs you want to bring forward, what counts as the same area for you and which travel time you allow.
Bombos then sets preparing replacement proposals at the level "proposing": the candidate and the message are ready for your review. You keep your own schedule and waiting list, nothing moves and no training is needed. You can join in straight away even if you have never worked with a system like this. If you correct a candidate, that correction is the rule from then on; without those corrections, Bombos does not learn which job you consider a good fit. Once a task type has gone well for a while, you set it to "run after approval" or "run on its own". A message to a customer never goes out without your approval.

What can Bombos not do here today?
Bombos works with what is written down somewhere, and a waiting list that lives in someone's head is not part of that. That is why Bombos interviews you about it: it asks the questions that get that waiting list onto paper, so a fitting job is in the proposal next time. An address in the same area does not yet prove the job fits the gap; you judge the time for the work and the drive. An appointment made only by phone counts as soon as it is written down somewhere.
A candidate is no guarantee that you fill the gap. The customer can turn down the proposed time, and a proposal can contain wrong or incomplete details. When in doubt, Bombos puts the choice in front of you instead of guessing. So check the proposal before the schedule changes. No message goes to a customer without someone at your company pressing Approve. That limit covers email and every other channel, and it is technically enforced. Only Bombos can switch it off, at your explicit request and at your own risk. Filling a gap starts with knowing which waiting job fits there.
