How do appointment reminders go out for every appointment tomorrow?

Appointment reminders cover every appointment in your schedule; Bombos finds the customer details and gets the text ready, you check it and send it.

Works with your own scheduling software, calendar and accounting package.

Preparing reminders is the start of an office team that handles more work with the same people, and does it better.

This is how it goes now, and how it goes with Bombos.

Now

People do not show up because nobody confirms a day ahead.

Today, someone has to handle reminders every day, and on busy days that does not happen. Then a technician arrives at a door and nobody answers. For each visit tomorrow, you gather the customer, address and agreed time, along with any change, and write the email. If you contact customers by email, you do not need a separate text-message system.

Every appointment gets its reminder ready in your own tone.

A reminder is ready for every appointment tomorrow. Bombos finds the customer details for the appointments you selected and places the text beside them: the address, time and what the customer needs to know before the visit. If the appointment was moved and that change was recorded, the draft gives the new time. You read the reminder, correct anything that is wrong and send it from your own inbox.

After three months

After three months, every appointment in the calendar has a reminder. Your office team reviews a list each day instead of building it, and your technicians make fewer wasted trips. Your team now knows how Bombos works, so they set up the next task themselves, such as filling a gap after a cancellation.

What's ready for you then

  • Every customer due tomorrow has a reminder ready
  • Fewer technicians arrive at an unanswered door
  • In your tone, with the address and time
  • No one has to remember every day

Where do you see that?

The reminders sit as proposals on a list in Bombos, with the customer and the appointment they are about. At each message you see the customer details, the agreed time and why the text is ready. You read the address and the time next to the draft email and adjust the text for this customer. The appointment that was found stays alongside it, so you can compare whether the reminder matches the visit that is planned. Your schedule does not have to be open beside it.

A message marked "ready for you" you can review. "Waiting on your input" shows what is still needed, for example which of two times applies. That way you see at a glance for which customer the time still raises a question and for which one the text is ready. Every action with an effect outside Bombos sits in the log you can view. There you can look back at what happened with the message for this appointment.

How does it start?

It starts with a conversation of about an hour in the first week. Together we choose the appointments you want reminders for, and we look at the schedule and the inbox you use to contact customers. You decide what belongs in the reminder and who checks the messages a day ahead. We also set down what happens if the address is missing or the time is not yet fixed.

After that, Bombos starts this first task at "proposing". You keep your own schedule and inbox, nothing moves and no training is needed; we set it up together, even if you have little to do with systems like this. If you correct the text or the way an appointment is named, that correction is the rule from then on. Without those corrections, Bombos does not learn how you write a reminder. Later you set a task type to "run after approval" or "run on its own". A reminder never goes out without your approval.

The reminders are the first task, not the whole offer. We take you along on that first step, and after that your own office staff teach Bombos the next task. We would rather you did not keep coming back to us. After three months, no appointment sits in the diary without a reminder going out.

An office team that handles more.

A reminder the day before is a small task that still gets left behind. Many tasks in a fast-growing business are like that. They need doing, nobody has time, and the answer seems to be another hire. Bombos is for businesses that do not want to grow headcount. Your current team does more work, of a higher quality, with less pressure.

After reminders, your office team teaches Bombos the next task. Nobody needs technical skills. Your people work with the proposals every day and naturally learn to work with AI. We guide you through the first step, and after that we do not want you to keep coming back to us.

Leave your number and we call you back to talk through the work your team is leaving behind.

What Bombos does, in three steps

  1. It reads what comes in

An email, a message, a photo or a PDF: Bombos reads it, looks up the client and the details in the systems you already have, and sees what is missing.

  2. It drafts the work, you approve it

The proposal sits on one list with the reasoning next to it. You read it, adjust it and approve. Only then is anything sent, booked or filed.

  3. It remembers what you decide

Every correction becomes the rule for next time. Once a kind of task has gone well for a while, you hand it over step by step, and you check the log afterwards.

What can Bombos not do here today?

A reminder only goes out after someone at your company has read it and pressed Approve. That limit covers email, text message and every other channel, and it is technically enforced. Only Bombos can switch it off, at your explicit request and at your own risk. A sent message is also no guarantee that the customer reads it or is home. The appointment details in the proposal can be out of date, so check them before you send. And without an email address or phone number for the customer, there is no reminder to send.

An appointment that was only moved by phone and never written down anywhere is unknown to Bombos. That is why Bombos interviews you about it: it asks which appointments were recently changed, so the reminder names the right time. When details are missing or conflicting, it puts the question to you instead of choosing for itself. The appointment is already in your schedule; the reminder just brings it back to the customer's attention.

Free, no obligation

Leave your number and we'll call you back to talk through your situation.

A few lines about how things go at your company is enough, or just your number. You won't get a sales pitch but a conversation: what stands out to us, which work could get lighter first at your company and what your team can take on after that. It costs nothing. If we see something worthwhile together, we start with that first piece of work.

We read what you write. Within one working day you hear from the one of us who knows your kind of work best.
