How do you send a quote follow up email after ten days from Outlook?
A quote follow up email is the first thing to slip when it gets busy. Bombos sees which quote is sitting idle and gets the follow up email ready after ten days, with the customer reply attached, for you to send from Outlook.
Works with your own scheduling software, calendar and accounting package.
Following up on quotes is the first task, and the result is a team that wins more jobs with the same people.
This is how it goes now, and how it goes with Bombos.
Quotes quietly expire, because following up between jobs never happens; that is exactly where the margin sits.
You send the quote and then it goes quiet. Ten days later it is still open in QuickBooks, while the customer conversation sits in Outlook. Nobody tracks it. To write a fitting message, you first check what you offered and whether the customer has replied since, by email or phone. Then you write the message from your own inbox.
Every quote older than ten days has a follow-up email ready, with the reply from the customer attached.
Bombos finds the quote details and reads the email thread. It prepares a follow-up message about the proposed work. If the customer asked a question by email, that question appears with the proposal so you can answer it first. The ten-day period is your own rule and you set it yourself. You read the follow-up email, edit it and send it from Outlook.
After three months, no quote expires without someone asking about it. Each month, you can see what happened to your proposals and why. The same people win more jobs from work they have already done. By then, your team also knows how to teach Bombos a new task, so they choose the next one themselves.
What's ready for you then
- No quote quietly expires
- Every follow-up email is written for that customer
- See which quotes are open, without keeping a list
- More jobs from work you already did
Where do you see that?
On the list of proposals, the follow-up email sits with the customer and the quote it concerns. You see the details found and the reason for the message, for example that the agreed follow-up period has been reached. You read the offered work next to the latest customer reply and adjust the draft message accordingly. The description sits alongside it, so you can see which offer this message is about and compare the content with what you agreed.
"Ready for you" means you can review the text. "Waiting on your input" shows which information or decision is missing before the message can go further. That status says something about the work in Bombos, not that the customer has accepted or turned down the offer. Every action with an effect outside Bombos is recorded in the log. There you can see the send happen, for whenever you later want to check what happened with this quote.
How does it start?
We start with how you follow up on quotes today. In the first week we spend about an hour discussing which inbox you use, where the quote details live and when you get in touch. If ten days is the agreed period, we set that down. We also discuss what should happen when there is already a reply in Outlook, or when you agreed something with the customer by phone.
Bombos then starts the first task at "proposing". You keep QuickBooks and Outlook and do not need to move the quotes anywhere. The setup consists of settings for your package, inbox and rules; no training is needed. You review the drafts. If you correct a message because a question needs answering first, that correction becomes the rule for next time. Only you later raise a task type to "run after approval" or "run on its own". Outgoing messages still come to you for approval. When the next quote reaches the agreed period, the follow-up email is ready for review with the customer reply attached.
Following up is the first task, not the whole offer. We take you along on that first step, and after that your own team teaches Bombos the next task. After three months, no quote expires without anyone having asked about it.
More jobs without more people.
Following up on a quote is a small task with a big effect. It is also one of the first things left behind when you grow fast. That pattern goes beyond quotes: wherever work piles up, tasks that need no judgment get pushed aside. Bombos is for businesses that are growing without wanting to grow headcount. The same team does more work, of a higher quality.
After follow-up, your team teaches Bombos the next task itself. They do not need technical skills. By reviewing and improving proposals every day, your people naturally learn to work with AI. We help with the first step, and we do not want you to keep coming back to us.

What Bombos does, in three steps
It reads what comes in
An email, a message, a photo or a PDF: Bombos reads it, looks up the client and the details in the systems you already have, and sees what is missing.
It drafts the work, you approve it
The proposal sits on one list with the reasoning next to it. You read it, adjust it and approve. Only then is anything sent, booked or filed.
It remembers what you decide
Every correction becomes the rule for next time. Once a kind of task has gone well for a while, you hand it over step by step, and you check the log afterwards.
What can Bombos not do here today?
Bombos does not decide that a quote is lost based on silence. What can be prepared depends on the details that are available and the approach you have set. A phone call that was never written down anywhere cannot be taken into account. That is why Bombos can interview you: it asks what was discussed with the customer by phone, so that it can be taken into account at the next follow-up. If you have already given the customer more time, that agreement has to be available first before the proposal can reflect it.
A follow-up email can give the wrong impression if the information is out of date. That is why you check the content before acting. When in doubt, Bombos asks for your judgment instead of drawing a conclusion. Bombos never sends a message to anyone without approval from a staff member first, regardless of the channel. Even with repeated follow-ups, that limit is technically enforced. Only Bombos can switch it off, at your explicit request and at your own risk. A quote is not adjusted or closed without your approval. Following up starts with knowing where the conversation was left.
