How do I get AI to work with the software we already have?

In brief

You get AI to work with your own software by placing it alongside the software. Bombos reads email, finds information in Exact Online, Dutch accounting software, AFAS, a major Dutch business software maker, Syntess Atrium, Dutch software for installation companies, or Microsoft 365, and prepares a proposal. After approval, Bombos writes it to the software. You do not need to switch software.

Why put AI alongside your software rather than inside it?

Because the work that takes time happens before it reaches your software: in the email, attachment, or message, and in retyping it into the software. AI inside the software stays within that software. AI alongside it reads incoming work, finds information in the software, and prepares the work where it belongs. You keep your own software and do more work, at a higher quality, with the same people.

How does it work, step by step?

The steps are the same, whatever software you have. Bombos reads and looks things up. You decide.

  1. Bombos reads incoming work in the form it arrives. A regular customer emails an order as a PDF, or simply writes "same as last time." Bombos reads the email and attachment as a coworker would.

  2. Bombos finds the information in the software where it already lives. For a photo of a weekly timesheet, that means the placement in AFAS and the agreement with the hiring company.

  3. Bombos prepares the work as a proposal, with the reason and source. For a purchase invoice without a project number, the project from Exact Online is ready, with the reason: the address in the email belongs to this active project.

  4. After your approval, Bombos writes it to the software. An email with an attachment then appears in the correct customer file in SharePoint. If you change the destination first, that correction becomes the rule from then on.

The difference from retyping is the order. Today, a person reads, searches, and types. With Bombos alongside them, they start with a proposal whose information has already been found. They only need to decide.

How does it work in each software package?

What arrives and what Bombos looks up varies by software package, but the sequence stays the same. Software makers build their own AI, which stays inside their own software. The work between email and software still remains. That is where Bombos starts.

Exact Online. A purchase invoice arrives here as a PDF by email, often without a project number. Bombos finds the supplier, project, and purchase order in Exact Online. An entry on the correct project is ready, with the reason and a question if the amount differs from the order.

AFAS. Hours arrive here as a photo of a weekly timesheet, a message, or a separate Excel file. Bombos finds the placement and recorded agreements in AFAS. Hour entries are ready for each day and placement. Anything that differs, such as a Saturday that was never agreed, appears as a question with the proposal.

Syntess Atrium. A fault arrives by email, a phone note, or a message. Bombos finds the customer and installation in Syntess Atrium. It checks the Outlook calendar for a technician who knows the boiler type and has time available. A scheduling proposal and draft message to the customer are ready.

Microsoft 365. Outlook is where everything arrives. SharePoint is where the files live. Bombos reads the shared inbox, finds the customer or file, and proposes who should handle a message or which folder should hold an attachment. The reply, assignment, or destination in the file is ready.

If you use two of these software packages alongside each other, Bombos works with both. The fault from Outlook becomes a visit in Syntess Atrium. The invoice from your inbox becomes an entry in Exact Online. AI inside a software package does not do that work between two packages.

Which task starts where?

Each task starts in the software that currently receives the most retyped work. For purchase invoices, that is Exact Online. For weekly timesheets, AFAS. For faults, Syntess Atrium. For the shared inbox, Outlook. For attachments in files, SharePoint. Below, each task explains how it works, in that order.

What does it cost and what does it deliver?

The pilot costs 2,000 euros for the first three months, with Bombos alongside you, then 1,000 euros per month. This includes Bombos visiting to set up the first task with you and interviewing your people about knowledge that only lives in their heads.

The work between email and software disappears: retyping, looking things up, and dragging files to the right folder. Administration notices it with invoices, the planner with faults, and payroll with hours at the end of the week. For a fast-growing company that wants to keep the same team, it means the same people can handle more work, at a higher quality. Bombos costs less than half a day per week of the employee you would otherwise hire.

What does the person do?

The person decides. Nothing is posted in Exact Online or AFAS, nothing is scheduled in Syntess Atrium, and no email leaves Outlook until someone on your team clicks Approve. Before that approval, you see the proposal with the reason and source: the invoice, the timesheet photo, or the customer email. You can look back at every step to see what happened and why.

At first, Bombos submits everything for review. For internal work, such as looking things up, checking, and preparing, you then decide how much Bombos can do ahead of time. Outgoing messages and payments always wait for approval. What Bombos does in your software therefore depends on your approval, rather than what is technically possible.

When is this of no use to you?

If there is no email stream being entered into software by hand, there is nothing to prepare. If everything already happens inside the software, its own AI is often the better answer. The difference is explained in AI inside AFAS or Exact, or an AI agent alongside it. In a very small business, the setup usually outweighs the work that disappears.

Do I need to switch software to use AI?

No. Bombos works with the software you already have, such as Exact Online, AFAS, Syntess Atrium, and Microsoft 365. Your information stays in your own software. Nothing needs to move.

What if my software is not listed?

We discuss it. The approach is the same: Bombos reads incoming work, finds information in your software, prepares a proposal, and writes it back after approval. Tell us which software you use when requesting a callback.

Can Bombos write to my software, or only read?

Bombos can write to your software after approval: an entry in Exact Online, hour entries in AFAS, a visit in Syntess Atrium, or a document in SharePoint. Approval sets the boundary. Nothing changes in your software unless someone clicks Approve.

Does it work if we use two software packages alongside each other?

Yes. That is exactly what it is for. A fault arrives in Outlook, the installation is in Syntess Atrium, and the technician has a calendar in Outlook. Bombos looks things up in both and prepares a proposal.

What do we need to do ourselves to get started?

You choose the first task and give Bombos access to the inbox and software involved. Bombos visits to set up the task together and asks your people about agreements that have never been written down. Then you approve proposals and correct anything that is wrong.
