How do you keep the onboarding checklist for a new employee's first day?

Employee onboarding runs on a checklist of requests for the first day; Bombos keeps that checklist, checks off finished items and puts open items and a draft welcome email in front of you.

Works with BambooHR and however your hours come in.

The first day is a beginning for your new colleague and your office, then the same team does more work and teaches Bombos the next task itself.

This is how it goes now, and how it goes with Bombos.

Now

New colleague, and something is always not arranged: no account, no phone, no calendar.

Today someone keeps the list in their head or on a scrap of paper and chases every item themselves: account, phone, and who will welcome the new colleague. When the client emails about the placement, you compare that message with the information in BambooHR to see what is finished and what remains open. For the welcome email, you look up the recorded arrangements all over again.

Your list stays up to date: what's done is checked off, the rest comes with the reason, right down to the draft welcome email.

Bombos keeps your list of requests, checks off finished items, and puts open items in front of you with the reason attached. You decide what belongs on the list, from contact with the client to the welcome email. A draft of that email is ready from the recorded information. Anything Bombos is unsure about comes back as a question. You check the list and text, make any changes, and send the welcome email.

After three months

After three months, everything is arranged for the first day without anyone keeping the list in their head. Items that often get stuck appear automatically. New colleagues get a good start, even in a busy week, and your team uses the same time to set up the next task with Bombos itself.

What's ready for you then

  • Everything arranged for the first day
  • No new colleague without an account or phone
  • Anything stalled comes back to your attention
  • The welcome email is ready for your review

Where do you see that?

You see the work for the first day in Bombos on one list of proposals. The reason and the status sit next to it: "ready for you" or "waiting on your input." You do not need to have BambooHR open to view the list of requests and the open items.

The finished requests are checked off. With an open item you see what is waiting for your check or where Bombos needs your information. That way you can go through the list before finishing the welcome email. The reason with a proposal helps you judge the state of that request from the available information.

While preparing the start you can see every action with an effect outside Bombos back in the log. The list of proposals shows the work waiting for you; the log shows the actions already carried out. That way, while preparing the first day, you can also look back at what has already happened.

How does it start?

In the first week we go through your list of requests together, in a setup conversation of about an hour. We discuss the mailbox, the package, and the rules for the first day. You decide what belongs on the list and who checks the open items and the welcome email. That conversation is also the moment to put a starting arrangement that up to now only lived in someone's head onto the list.

Bombos then puts the first task live at the "proposing" level: the list and the welcome email sit ready for your check. A correction becomes the rule for next time. So you also check whether the preparation fits how you start a placement. Bombos learns only from the corrections you give on that list and the text.

You keep your existing mailbox and BambooHR. Nothing needs to move; we fill in the settings together, even if you are not that comfortable with computers. No course is needed. Once a task type has gone well for a while, you choose "run after approval" or "run on its own." The limit on outgoing messages keeps applying. Through the log you keep watching afterward.

When an item keeps getting stuck again at the next placement, Bombos puts that to you with the reason attached, and you decide whether it belongs on the list.

The first day is the start, not the whole offer. We take you through the first step; after that your own office teaches Bombos the next task. After three months, everything is arranged on a first day without anyone working from memory.

More placements without more office staff.

Every new placement brings the same list of tasks. As your staffing company grows, that list grows too, and before long you hire someone just to keep track of it. With Bombos, the same office does more work, and does it better: nobody starts without an account.

Then your team teaches Bombos the next task itself. You do not need to be technical. Anyone who improves a proposal teaches Bombos something and learns to work with AI along the way. We take the first step together. After that, you can do it yourselves, because we do not want you to keep coming back to us.

What else could your office handle with the same team? Leave your number and we will call you back to talk through your situation.

What Bombos does, in three steps

  1. It reads what comes in

An email, a message, a photo or a PDF: Bombos reads it, looks up the client and the details in the systems you already have, and sees what is missing.

  2. It drafts the work, you approve it

The proposal sits on one list with the reasoning next to it. You read it, adjust it and approve. Only then is anything sent, booked or filed.

  3. It remembers what you decide

Every correction becomes the rule for next time. Once a kind of task has gone well for a while, you hand it over step by step, and you check the log afterwards.

What can Bombos not do here today?

Bombos never sends messages to the client or the candidate without your approval. That applies to the requests and the welcome email, on every channel. For the first day too, this limit is technically enforced. Only Bombos can switch it off, at your explicit request and at your own risk.

Bombos works with the list you decide. So a checkmark only says something about the items you put on the list. If a starting arrangement is missing because it only lives in someone's head, Bombos does not know it. That is why Bombos can interview you: it asks which arrangements for the first day are still missing, so you can add them to the list. A proposal or a checkmark can be wrong even when Bombos shows no doubt. The content therefore needs a check before a request counts as finished.

A good first day starts with knowing what is still open, before the new colleague arrives.

Free, no obligation

Leave your number and we'll call you back to talk through your situation.

A few lines about how things go at your company is enough, or just your number. You won't get a sales pitch but a conversation: what stands out to us, which work could get lighter first at your company and what your team can take on after that. It costs nothing. If we see something worthwhile together, we start with that first piece of work.

We read what you write. Within one working day you hear from the one of us who knows your kind of work best.
