Five types of Dutch providers automate administration with AI: automation agencies, software vendors with built-in AI (often through implementation partners), IT providers, agent and document platforms, and freelancers. Fit depends less on provider type than on demonstrable performance with your work, daily maintenance responsibility, and whether someone else can take over.
This page identifies provider types, compares published prices and terms, offers twelve evidence questions with red flags, and ends with a test absent from the selection guides we read: the double handover test. There is no ranking. Providers illustrate delivery models, rather than recommendations. We read websites and tested none. All sources were opened September 30, 2026.
The short answer
- Five provider types exist; a company can fit several. This is an aid, rather than an official industry classification.
- Check your own package first. Exact, Dutch accounting software, describes purchase-invoice and bank-transaction agents, claiming 98% Purchase Agent accuracy without a public test protocol. Exact, September 30, 2026
- An integration is not a completed process. Moneybird, Dutch accounting software, has an AI integration that reads and writes records but never deletes them; sending invoices is excluded too. Moneybird, September 30, 2026
- Entry prices range from € 20 monthly software (n8n Starter, 2,500 executions), through € 450 per built flow (Invoker), to € 1,500 setup plus € 750 monthly for one managed process (Montari): € 10,500 first year.
- CBS small-business AI use rose from 11% in 2023 to 19% in 2024 and a provisional 27% in 2025. The offer you must assess grows too. CBS, December 12, 2025

Which types of companies automate administration with AI in the Netherlands?
Agencies sell development, software vendors their own features, IT providers workplace setup, platforms tools, and freelancers personal hours. Each example below comes from its own publications.

There is a sixth route outside AI categories. For outsourced bookkeeping, speak to a bookkeeping or accounting firm. You buy financial work; its internal AI use is separate. Keeping work in-house while increasing output points to the five types above.
Boundaries overlap: agencies use n8n, IT providers may be Exact partners, freelancers can maintain. Type starts the search rather than judging quality.
Should you first check what your accounting software already does with AI?
Yes. Major Dutch vendors build AI for tasks agencies also offer. Hiring before checking risks paying for something already licensed.
Exact describes purchase-invoice and bank agents. Its Purchase Agent claim, translated, is “And all that with an accuracy of 98%.” No public test set, denominator, or per-field breakdown appears. Do not read it as 98% error-free administration. CRM Agent and Exact Excel Agent are Beta; Financial Agent is not. Check your edition. Exact, September 30, 2026
AFAS calls Jonas/GenIA-L cooperation a “two-way connection between AI assistants” (translated). It says only the legal or tax core goes to Lefebvre Sdu, without customer information. A vendor statement rather than privacy audit, but the breakdown every integration should provide. AFAS, September 30, 2026
Package AI can cross its walls. Moneybird, Dutch accounting software, documents external-assistant reading and record creation or updates with write permission. This qualifies our package AI or an AI agent alongside argument: permitted actions define the boundary rather than the logo. Remaining work, often across email, documents, packages, and schedules, is what to outsource. See working with your own software.
Why does “we integrate with Exact or AFAS” say little?
An integration means systems exchange data, rather than establishing which actions a provider executes. Ask for demonstrated operations in your package version.
Moneybird’s AI integration has read-only and read/write modes. Write permission permits record creation and changes. Deletion, invoice sending, and registering or matching payments are excluded. This applies to this AI integration rather than every Moneybird interface. Moneybird, September 30, 2026
Creating and sending an invoice are separate promises. “Automating invoicing” may supply only creation, or send through another route with other permissions. Demonstrate reading, writing, and package errors in a test environment. A logo proves none.
An absent integration need not disqualify a provider. Common Dutch package integrations are routine for experienced builders. What matters is demonstration during the trial rather than existing list inclusion.
What does having a company automate your administration cost?
Published entry prices range from € 20 monthly to over € 10,000 first year, buying software, development, or managed service. They identify delivery models, rather than comparable quotes.

Montari first year: € 1,500 + 12 × € 750 = € 10,500 with unchanged scope, excluding your time. n8n usage depends on design: every five minutes gives 30 × 24 × 60 / 5 = 8,640 monthly runs, above Starter. Document-triggered at 100 documents per workday × 22 days gives 2,200, fitting Starter. Builder choices determine subscriptions.

How do you recognize a good provider? Twelve questions and evidence to request
Good providers answer with visible evidence. Give everyone the same task and mark each row missing, promised, or demonstrated. Do not sum scores: a serious gap such as no recovery plan outweighs three good demos.

What assignment lets you compare candidates fairly?
Give the same short realistic assignment with three failures. Clean demos miss project numbers, duplicates, and revoked access.
Example: an emailed purchase invoice lacks a project number, the customer agreement lives elsewhere, and an entry proposal needs approval. Specify systems and versions, monthly volume, approvers, and final result. Ask for a non-AI approach too; ordinary automation may suffice: AI or traditional administrative software.
Add three situations:
- Invoice arrives twice. Is the duplicate blocked visibly?
- Accounting access fails. What waits, who is alerted, and what happens when reconnection follows a first attempt already processed?
- Employee rejects proposal. Does action stop, and what is learned?
Identify builder, monitor, and recovery owner per step. Use fictional or protected data initially. This is a selection briefing; see full preproduction testing, which processes first, and concrete use cases.
How do you assess an AI company’s references and result claims?
Assess claims by denominator, date, and counting rule. Without all three, percentages are unverifiable.
Montari claims up to 70% automatable work without a verifiable method on that page. Montari, September 30, 2026 Exact claims 98% for one agent without a public protocol. Winvent is clearer: eight production systems at six businesses as of August 6, 2026, counting only paying-customer production. No public references need not mean poor work. Confidentiality or a young offer limits disclosure. Request a bounded trial and anonymized execution. Invented references disqualify a provider.
What should you arrange about data, certificates, and ownership?
Separate processor responsibility, certificate holders, and exit materials.
Data. Processing personal data on your behalf must “be governed by a contract”, covering instructions, security, subprocessors, audits, and return or deletion. EDPB, September 30, 2026 Ask where logs, backups, and model inputs go.
Certificates. A host’s certificate is not the builder’s. Aanloop AI says, translated, “Aanloop AI itself has no SOC 2 or ISO 27001 certificate,” separately naming infrastructure. Aanloop AI, September 30, 2026 Require that clarity about who certifies which chain component.
Ownership. “Everything is yours” varies. Maarten Soetens says handover is agreed and custom-work rights are in terms. Read them. Maarten Soetens, September 30, 2026 Code, usage rights, and personal-data return are separate agreements. Even full code cannot help successors without business rules explaining why an invoice goes to project A instead of B.
Is an agency more reliable than a freelancer?
Provider labels do not establish reliability. Assess backup and handover through contracts and demos. Freelancers do not only build, and agencies do not automatically ensure continuity.
Maarten Soetens offers optional maintenance (Maarten Soetens, September 30, 2026). Agency Invoker makes flow maintenance optional and separate (Invoker, September 30, 2026). Ask who can log in and repair tomorrow if the usual builder is absent. A one-specialist agency project carries the same risk.
Other guide distinctions overreach too. Stakd treats 24-to-72-hour delivery as quality, fitting its voice/chat agents rather than necessarily accounting integration. What is the best test for choosing an AI company? The double handover test
Our position: choose the company showing how work continues after failure and how another provider takes over when you leave. None of the reviewed guides combines these handovers, although facts require it.
Exact and AFAS already embed AI steps. Human approval is standard in n8n. Execution, flow, and managed-process prices are incompatible. Results usually come from sellers. The distinction is what happens on a bad day, rather than whether AI works on a good one.
Two test parts:
- AI to human. Show duplicates, missing information, rejected entries. Does the right employee receive work and reasons, with nothing half-executed?
- Vendor to another maintainer. Provide access, documentation, rules, and rights. Have a coworker or third party make one change using only those materials.
This matters more to small businesses without IT departments to absorb abandoned workflows, where one coworker often knows exceptions. Without handover, automation moves bottlenecks to that coworker or builder. One afternoon separates building from carrying responsibility.
Where is this heading?
Supply grows faster than evidence. CBS small-business use: 11% in 2023, 19% in 2024, provisional 27% in 2025, two eight-point increases. CBS, December 12, 2025 Linear extrapolation gives 35% in 2026, 43% in 2027, assuming equal definitions rather than a CBS forecast. Across businesses with at least ten working persons, CBS reports 33% in 2025 versus 23% in 2024. CBS, February 10, 2026 Exact’s survey of over 1,700 respondents in Q1 2026 gives 70%. Exact, August 3, 2026 It sells AI and asks a different question. Do not combine series. You will assess more providers.
No public comparable series exists for project success, recovery costs, or delivery-model failures.
Our expectation: on September 30, 2027, at least three of five AI steps a Dutch small or midsize business commissions today will have equivalent standard package/platform features under the same conditions. Vendors already build agency-sold tasks, and review is standard. Selection shifts to exception management and handover. Development gets cheaper; responsibility does not.
It fails if fewer than three steps are covered or standard features require equal custom work. Announcements and superficially similar demos do not count. Three of five is our test criterion, rather than dataset-derived.

What can this not do yet?
No method guarantees success. Evidence and handover tests reduce risk rather than measure performance two years ahead.
- No independent comparison. No checked references, posting tests, uptime measurements, or comparative Dutch vendor results found. All performance figures are self-reported.
- Entry prices only. No total for your administration; VAT and scope sometimes absent.
- Our classification. Useful for search rather than quality; companies overlap types.
- Your people’s time. Three candidates and three faults need preparation and review.
- Faster AI can lengthen queues. Proposals exceeding review capacity do not proportionally reduce elapsed time. Ask who manages holiday and busy-period approvals.
- Unrecorded knowledge is not automatically found. Builders claiming exception knowledge without asking overestimate themselves.
