A suitable AI solution supports the service where work gets stuck: file assistance for compilation, processing changes for payroll, source-based research for tax, and case analysis for advisory. Sole practitioners need a personal overview; larger firms need shared assignment and review.
Choose for your situation: a sole accountant, ten-person firm, or fifty-person organization. Existing software, client submissions, and available reviewers determine fit. User experience appears in accounting-firm AI workflow automation experiences.
The short answer
- Sole accountants start with existing package features and add specialist assistance for remaining work.
- Ten-person firms sharing files mainly benefit from one work queue, a task owner, and a visible next step.
- Fifty-person firms need service-specific AI management, separated client access, reviewers, and recorded decisions.
- For compilation, Silverfin Assistant, an accounting file assistant, is relevant for missing entries and unusual balances. Silverfin, accessed 30-09-2026.
- Nmbrs, HR and payroll software, already has payroll workflows. Check existing automation before adding AI. Nmbrs, 14-09-2026.
- Tax assistants should provide verifiable professional sources. Nextens, Dutch tax software, warns, translated: “TEX can make mistakes.” Nextens, accessed 30-09-2026.
- For cross-package email, documents, and tasks, assess the full handoff, including approval and processing in the correct file.
What do the figures tell us about AI at accounting firms?
Widespread use does not prove faster file completion. Exact, a Dutch business software vendor, has a 2026 survey containing 1,719 respondents, 195 in accountancy. Markteffect surveyed businesses with 2 to 250 employees in Q1. Sole practitioners are excluded.
| Measured feature | Result | Selection implication |
|---|---|---|
| Accountancy AI use | 73% | Presence says nothing about completed tasks |
| Automation priority | 68% | The problem exceeds text generation |
| AI investment priority | 61% | Willingness is not proven return |
Source: Exact MKB Barometer 2026, pages 3, 21, 23, 25, accessed 30-09-2026. Exact sells business software and commissioned it.
Censuswide’s study for Silverfin includes a hundred Dutch respondents: 57% use Excel for manual reconciliation and checks. Reliability and quality control concern 44%, implementation time/resources 38%, integration 25%. Moving data between systems takes about 33 minutes daily on average. Accountancy Vanmorgen, 15-09-2026.
Different samples and questions mean percentages cannot be subtracted. Together they support distinguishing substantive work, data transfer, and review bottlenecks. Each needs a different solution.
Which combination fits your firm size and services?
Size determines organization; service determines expertise. This matrix is our advice rather than measured market segmentation. Supporting features are sourced below.
| Service | Sole accountant | About 10 people | About 50 people |
|---|---|---|---|
| Compilation | File assistant in existing environment, starting with recurring investigation | Same plus shared missing-document follow-up | Shared file setup, exception assignment, reviewer overview |
| Payroll | Existing workflow; AI prepares unstructured changes | Central intake and fixed handoff to processor | Intake by client group, separated duties, exceptions per run |
| Tax | Source-based tax search alongside filing software | Shared sources and recorded relevant judgments | Specialist assistant per field, controlled conclusion sharing |
| Advisory | Meeting preparation from current figures | Client overview of figures, agreements, open actions | Portfolio-wide advisory triggers followed by expert review |
Exceptions matter. A sole practitioner in complex international tax needs more specialist support than a large firm with uniform accounts. A fifty-person firm in one environment needs fewer integrations than a small one with scattered data.
For Dutch conditions and professional boundaries, see AI automation for accounting firms in the Netherlands. This page matches solution type to work situation.
Which AI fits a sole accountant?
Choose low-maintenance support starting from existing files. You execute, review, and handle outages yourself. An assistant requiring repeated file uploads can return work to the same person.
Review existing software first. AFAS, Dutch business software, directs firms up to ten employees to Accountancy Direct, with integrated files, tax, and payroll. Relevant for wider software selection, rather than a reason to replace a working setup for one AI feature. AFAS, accessed 30-09-2026.
For writing and summaries, office assistance fits. Microsoft describes Word drafts and Outlook preparation, subject to license and setup. Microsoft Learn, accessed 30-09-2026.
For tax backlogs, choose professional research support. For missing documents, improve submissions and follow-up. Faster writing does not retrieve a missing loan agreement. Start with what blocks the next file step.
Which AI fits a ten-person accounting firm?
Shared work needs visible handoffs. Personal assistance is insufficient when a preparer thinks the client was called and the relationship manager thinks documents arrived.
Choose a chain: receive client email, identify client and year, attach documents, identify missing information, assign follow-up. The outcome is an updated file and clear queue. Email summaries alone leave assignment to people.
Define where final status lives. Separate mailbox, task-list, and file statuses need reconciliation. Checked-off email does not prove an attachment is stored under the correct entity.
Choose between personal and shared process support. Start with the shared inbox for distribution and follow-up, or a file assistant when submissions work but processing stalls. Both can coexist.
Which AI fits a fifty-person accounting firm?
Choose a manageable service-specific combination with explicit setup and review responsibility. One universal assistant does not resolve payroll, compilation, and tax differences.
Define workflow owner, exception reviewer, and execution authority per service. Limit access to relevant files. Microsoft says Copilot uses existing user permissions, so excessive file access needs fixing before use. Microsoft Learn, accessed 30-09-2026.
Visibility differs from recording. Ask whether the person completing payroll checks or file statuses can be identified afterward. Otherwise record it demonstrably elsewhere.
Transferability matters at this size. Coworkers should retrieve judgments without calling the original handler. Select on source, decision, responsible person, and processing status together.
Which AI solution fits compilation work?
A file assistant fits reconciliation, missing entries, and explaining discrepancies. Silverfin Assistant documents unusual balances and changing financial ratios, and creating tasks from checks. It works best with a standardized chart of accounts. Silverfin, accessed 30-09-2026.
Account classification determines fit. Different client classifications must be handled correctly or create extra investigation. Shared file setup can therefore outperform individual chat assistants in large compilation teams.
Detecting a discrepancy differs from completing a file. Unexpected balances require explanation, support, and recorded conclusions in the same context. Emailed explanations need handoff too.
Standard 4410 calls compilation a non-assurance engagement. Paragraph 38 requires documentation of significant matters and reconciliation to underlying information. AI checks do not turn compilation into audit. NBA, Standard 4410, accessed 30-09-2026.
Which AI solution fits payroll services?
Distinguish submission problems from processing problems. AI helps unstructured emailed changes. Scheduled runs, filings, and exports already have ordinary automation.
Nmbrs documents standard payroll workflows: package settings rather than legal deadlines or general calendar advice. Nmbrs, 14-09-2026.
Nmbrs Output Checker helps detect discrepancies but does not replace reviewing submitted changes. Nmbrs.
An emailed-change proposal needs employee, employer, effective date, change, and original message. Unclear dates require a question rather than silently selecting the current period.
Sole practitioners need personal review queues. Ten-person firms need clear handoffs. Fifty-person firms also need pending changes by client group before runs. Payroll software retains calculations; additional AI organizes surrounding information.
Which AI solution fits tax services?
Choose answers traceable to current relevant professional sources. Both reasoning and applicability to client circumstances must be reviewable.
Nextens, Dutch tax software, describes Tex using legislation, case law, and its knowledge base with references, while requiring answer checks. Verified source content does not guarantee generated conclusions. Nextens, accessed 30-09-2026.
AFAS users should first inspect Jonas in tax returns. Documentation covers sidebar assistance, GenIA-L content, and an advisory file with AI. Check activated and available components. AFAS Help, accessed 30-09-2026.
Our rule has three layers: correct source, applicable year and circumstances, and conclusion following from the source. A real publication reference only partly answers the first.
Sole tax advisers mainly need faster traceable research. Teams also need recorded interpretations and client facts, or coworkers repeat research and reuse conclusions with forgotten conditions.
Which AI solution fits advisory services?
Choose combined figures and agreements with verifiable meeting triggers. Preparation quality depends on current underlying accounts.
Exact describes Financial Agent using over forty performance indicators. CRM Agent for meetings and Excel Agent for reporting are Beta on the same page. Check availability and support before building recurring services around them. These are vendor descriptions rather than independent effects. Exact, accessed 30-09-2026.
Our recommendation: every proposal states period, included accounts, and missing information. Falling margins may justify commercial advice or reflect unposted revenue or classification changes. Without distinction, quick analysis adds review work.
One adviser needs a preparation file per meeting. Teams need portfolio attention and follow-up ownership. A customer-meeting overview is a concrete first task.
When do you choose package AI versus a cross-system solution?
Choose package AI when information and action meet there. Add process support when people repeatedly move or interpret information between email, files, and packages.
| Bottleneck | Documented feature to inspect first | Additional checks |
|---|---|---|
| Purchase invoices | Exact Purchase Agent: processing and ledger suggestions | Your package availability and discrepancy handling |
| File discrepancies | Silverfin Assistant: signals and tasks | Account classification and handler follow-up |
| Office workflow information | AFAS Jonas: documents and field filling | Workflow setup and field review |
| Scheduling payroll | Nmbrs standard workflows | Calendar, authority, client exceptions |
| Tax knowledge | Nextens Tex: referenced answers | Client and tax-year applicability |
Sources: Exact, Silverfin, AFAS, Nmbrs, Nextens, all accessed 30-09-2026. Vendors sell these products; features rather than proven returns are compared.
Package count does not automatically justify another vendor. Existing integrations or portals may solve handoffs. Assess remaining manual work. See AI in AFAS or Exact, or an AI agent alongside and recheck current features.
Only after choosing solution type comes vendor testing: choosing an AI-agent platform for accounting firms.
Why should review time determine your AI choice?
Our position: growing firms need AI proposals whose review and completion fit available capacity. File assistants find discrepancies, tax assistants answer, process assistants prepare steps. All may demand the same experienced coworker.
Fictional example: 300 weekly proposals, two review minutes each, take ten hours. If 20% require six correction minutes, add six hours. Total sixteen. A reviewer with eight hours handles only half at that mix.
300 × 2 + 60 × 6 = 960 minutes. All inputs are assumptions, rather than demonstrated product savings.
Select proposals presenting source, discrepancy, and processing together. Short answers help little if accountants must find every underlying document. Measure through correction and processing against the current method.
Where is this heading?
AI becomes part of existing firm software. Exact reports overall small/midsize-business use rising from 33% in 2025 to 70% in 2026: 37 percentage points, rather than doubled productivity or quality. Exact MKB Barometer 2026, page 23.
Product direction is concrete: AFAS describes tax and workflow-field AI, Exact transaction, analysis, and meeting agents. AFAS Help and Exact, accessed 30-09-2026.
Our expectation: by end-2027, coordination between assistants becomes the main choice. Who ensures tax conclusions reach files and promised client actions follow? More assistants alone do not resolve responsibility.
This weakens if vendors cover full cross-system handoff, sources, and decision recording. Additional software then matters less. Bombos will focus on remaining handoffs, bringing proposals, support, and approval together.
What can this selection guide not yet substantiate?
It supports features and tradeoffs rather than a proven winner. We have not compared products on identical Dutch files or measured a firm’s task/package inventory. Situations and calculations are aids rather than cases.
Studies guarantee no return. Silverfin reports July 2026 fieldwork with 500 employees across five countries, a hundred each. It sells accounting software. Dutch details above come from public reporting; the full report requires a request form and was not used. Silverfin, accessed 30-09-2026.
Product pages do not prove your subscription activates a feature. Referenced answers can still draw wrong conclusions. Test file setup, access, and review. See errors and review.
How does Bombos approach this?
Bombos fits recurring work stuck between email, documents, and business systems, aiming for more work at higher quality with the same team. Sole firms mainly working within a well-configured package naturally start there.
Chef recognizes and distributes work. Wegwijzer helps set boundaries and understand tasks. Specialists fit your tasks, systems, and rules.
For missing documents, Bombos reads email, finds client and file, and prepares supported follow-up proposals. You approve, change, or reject in Bombos, then results enter connected systems. Corrections become rules for coworkers too.
Customer messages, payments, and contracts wait for approval by default. Technically enforced and enabled by default, Bombos can disable it at your request and risk. It reads and writes in Exact (Dutch accounting software), AFAS, Twinfield (accounting software), and Nmbrs, among others.
Interviews record unspoken knowledge. We guide the first task; your team teaches the next without technical expertise. We claim no measured accounting-firm savings or results here.
