An assistant per employee is what you get when you make office software smarter. What comes next is a memory for the whole business. That is Bombos. Microsoft Copilot is a strong assistant in Outlook, Word, Excel, and Teams, for each employee separately. Bombos works for the whole business: from the shared mailbox to AFAS (Dutch business software), Exact (Dutch accounting software), and scheduling, with one memory where every approval and correction becomes a decision for all colleagues, with people in the Netherlands who visit when needed, and with an assistant that asks less every week because it earns that through evidence from your business. Bombos wins on every point except the price per user. Bombos prepares the work, you approve it.
The Copilot name covers several products: Copilot Business and Microsoft 365 Copilot are the business assistants, while Copilot Studio provides tools for building tasks yourself. Access to an assistant is not yet a configured administrative process. Source: Microsoft, Copilot Studio.

Exact | A Dutch company based in Utrecht and Nijmegen, entirely in Dutch, on its own servers in Europe. Team, how it works | €2.000 for a three-month pilot, then €1.000 per month, excluding VAT, for the whole business, with setup and guidance. Offer | The people who build it, by phone and email; they visit when needed, at the start and afterwards. Contact, AFAS | Every approval and correction becomes a decision for the whole business; what one colleague agrees applies to everyone tomorrow. How it works |
Copilot wins on price per user. The €15,60 promotion for Copilot Business runs up to and including 31 December 2026, requires an annual commitment, and applies to the first year; Microsoft 365 Copilot costs €26,00, and your Microsoft 365 subscription is additional for both. Source: promotional terms, Microsoft 365 Copilot. That amount gets each employee their own assistant. You do not get a company memory with it, lasting decisions for all colleagues, or anyone who visits to set up your first process. Bombos charges one amount for the whole business, and all of that is included.
From an assistant per employee to a memory per business
Copilot in Outlook stops at the shared mailbox
Microsoft writes it itself: the described Copilot features in Outlook work on the primary mailbox, rather than shared, delegated, group, or archive mailboxes, and the mailbox must be on Exchange Online. Source: Outlook limitations. That is precisely where work comes in for small and midsize businesses: at the administration, scheduling, or info address. That boundary concerns the Outlook features; what you configure yourself in other Microsoft products falls outside it.
Bombos reads email at the addresses you connect, finds the case file in your software, and prepares a proposal. For Bombos, the shared mailbox is no exception, but the start of the work.
What Jan teaches Copilot, Marieke’s Copilot does not know
Copilot saves memories, chat details, and custom instructions in the user’s mailbox. Source: memory. Jan in administration teaches his Copilot that invoices from that particular supplier go to cost centre 4300. That sits in Jan’s mailbox. Marieke, two desks away, asks the same thing and gets a different answer. Copilot does use organisational data, but a personal memory is no decision for the whole business. Source: data use.
With Bombos, Jan’s yes also applies to Marieke tomorrow, and to the new colleague starting on Monday. Nobody has to pass it on. Bombos has one memory, and it belongs to the business.
The real work sits between Outlook and Exact
A draft reply to an email and a checked entry in Exact are two different results. After the draft, someone still finds the case file, copies an amount, and checks the exception. Bombos works in AFAS, Exact, Outlook, and scheduling, and does that whole stretch. Every approval and correction becomes a decision for the business, for example why an invoice belongs to a particular project. Source: how it works, Exact, and AFAS.
That is how Bombos asks less every week. This is not a slider someone moves: it earns that through evidence from your own business, and one yes is never enough.
Bombos takes the shape of your business, without a building project
For custom workflows, Microsoft offers Copilot Studio: tools for someone in your business to build and manage tasks themselves, including as a standalone package at €173,30 per month for 25.000 credits. Source: Studio. Bombos requires no builder. It looks back each night at that day’s work and proposes standing work rules; you say yes or no. That is how it grows into your way of working, and afterwards your own team teaches it the next task.
We visit, even after the start
Bombos is based in Utrecht and Nijmegen, can be reached personally, and visits when needed: at the start to set up the first task together, and afterwards whenever the work calls for it. Source: contact and setup. Microsoft gives administrators a phone number from a worldwide list, with technical help around the clock in English and sometimes in the local language. The difference is who answers: at Microsoft, a support line for your administrator; at Bombos, the people who know your work and who visit. Source: Microsoft support.
One door to the outside
With Bombos, everything going outside passes through one door with a logbook. An email to a customer never goes out without your approval, and that lock stays on the door. If one employee wants to get through their own email and documents faster, Copilot is fine. A business’s work belongs in a memory that belongs to the business. With Bombos, it is ready there every morning.
