How do you connect AppFolio to your inbox so that every email at info@ reaches the right manager?
Put Bombos next to AppFolio: it reads the email at info@ and at your managers' own Outlook addresses, looks up the association and the homeowner in AppFolio, and proposes the manager with a draft reply. When a message reports damage, the contractor's work order is ready as a proposal. Nothing goes out and nothing lands in AppFolio until you approve in Bombos. What Does AppFolio Already Do, and What Not?
AppFolio already covers a lot of this work. Homeowners submit maintenance and architectural requests in their online portal, vendors see work order details and upload invoices in the Vendor Portal, and you text or email homeowners right from their contact record. Realm-X Messages brings incoming texts and emails together in a central inbox, with suggested responses and suggested actions based on the message.
Not every message takes that route. A homeowner who never logged in to the portal writes to info@ in Outlook, an owner replies to a manager's personal address because that is where the last email came from, a contractor sends a quote as a PDF to the front desk. Someone in your office reads those, works out which association and which homeowner they concern, and forwards them by hand.
Bombos prepares that part. It brings the mail from every address you add into one list, looks up the association and the homeowner in AppFolio, and proposes the manager, with the reason and a draft reply. For a reported leak, the work order for the contractor is ready as a proposal. When the reason for an assignment exists only in a colleague's head, such as which manager handles a demanding board, Bombos asks and records it, so it counts next time.

Each task below starts with an email at info@ or at a manager's own address and ends, after your approval in Bombos, in AppFolio or in the homeowner's inbox. A contractor's quote reaches the manager who asked for it. A homeowner who reports a broken gate gets a reply and a work order proposal in the same step. The owner who writes to a manager on vacation still gets an answer from a colleague who has the context. Your managers check the work instead of putting it together, and whatever they approve is on record in AppFolio, next to the association and the homeowner it belongs to. You start with one task. After that, your own team teaches Bombos the next one, and you do not need to be technical for that.

What Doesn't Go Out Without Your Approval?
Bombos sends no reply to a homeowner or a board member, creates no work order in AppFolio and forwards nothing to a contractor until someone at your company presses Approve in Bombos. That also holds for a message that looks urgent. That limit is always on. Only Bombos can switch it off, at your explicit request and at your own risk.
For every step you can read back afterwards what happened and why. For the work inside your office, such as looking things up, checking and preparing, you decide how much Bombos does ahead of time; messages to customers and payments always wait for your approval. A proposal can be wrong, even when the reason sounds believable. When in doubt, Bombos asks instead of guessing.
