How do you get a follow up email ready the same day for the missing attachment or policy number?

Forgot the attachment? Bombos spots it on arrival and gets the follow up email ready with the reason attached, and you review and send it.

Works with SharePoint, ANVA, CCS, Convect and your own file and client systems.

First the missing attachment, then more: higher-quality work with the same people, while your team teaches Bombos the next task.

This is how it goes now, and how it goes with Bombos.

Now

"See attached", but nothing is attached; the file waits three days until someone notices.

Today a staff member reads the email, works out what is missing and writes the follow up to the client. The message says "see attached", but there is no attachment. The surrounding text does not always reveal what is missing, such as a policy number for a claim. At a bookkeeping office, someone tracks which open questions are still waiting for the client and asks for the details personally.

Withbombos

The friendly follow up email is ready the same day.

Bombos prepares a follow up email for the attachment or detail you need, with the reason included. The message says which item you are asking for and which file it belongs to. You read it, adjust it and send it. If it is unclear what needs to be requested, Bombos asks for your input. It does not invent missing items just to complete the email.

After three months

After three months, no file sits idle for days because something is missing. The follow up is ready the day the email arrives, and you get a reminder if the client does not respond. Your team completes more files with the same people and teaches Bombos which task should come next.

What's ready for you then

  • The follow up is ready to send that day
  • No file waits days for one missing item
  • A reminder if the missing item does not arrive
  • Clients know exactly what they still need to send

Where do you see that?

The follow up email sits in Bombos on the list of proposals, with the reason attached. The status is "ready for you" or "waiting on your input". That tells you whether you can review a text or first need to say what is still needed. You do not need the package open to read the follow up. Your review covers the question to the client, not a statement that the file is complete.

For an email that is ready, you read whether the missing piece is clearly asked for. Then you adjust the text and send the message. Every action with an effect outside Bombos goes into the log, which you can view. There you can look back at what happened with the follow up. The reason stays with the proposal, so a colleague can read which detail you needed for the file.

How does it start?

In the first week we discuss the follow ups about missing attachments and details in a setup conversation of about an hour. We go through together which mailbox and which package belong to the work and which rules you use. For this task the starting point is the follow up email about missing information. You do not need to move your records, learn a new package or take a course. The setup happens together, even if computers are not your daily work. We also discuss which pieces are normally needed for a certain type of file, something that today is only experience.

After the setup conversation Bombos puts the first task live. Every task type starts at "proposing": the follow up email sits ready for review. What is not right in the text, you send back as a correction. The correction becomes the rule for the next follow up; without your explanation Bombos does not learn what should be different in the question. Adjusting means filling in settings, not custom work. Once preparing follow ups goes well for a while, you choose "run after approval" or "run on its own" per task type. The log lets you look back afterward at the actions around those follow ups. The follow up stays with you for approval and you send it.

The follow up email is the first task, not the whole offer. We take you through the setup. After that your own office teaches Bombos the next task, and you do not need to come back to us. After three months, no file sits idle for days over one missing document.

No more files left standing still.

A missing attachment may seem minor. Yet it is exactly the kind of work that quietly slows a growing office. If you are growing fast without wanting to grow headcount, your team needs to complete more work, of a higher quality, with the same people: complete files and clients who hear promptly what is still needed.

After the follow up, your team teaches Bombos the next task itself. Nobody needs to be technical. By working with Bombos every day, your people naturally learn how to use AI. We take the first step with you. After that, you can do it yourself. We do not want you to keep coming back to us.

Compare it with a new coworker: it costs less than half a day a week of the person you would otherwise hire. Leave your number and we will call you back to talk through your situation.

What Bombos does, in three steps

  1. It reads what comes in

An email, a message, a photo or a PDF: Bombos reads it, looks up the client and the details in the systems you already have, and sees what is missing.

  2. It drafts the work, you approve it

The proposal sits on one list with the reasoning next to it. You read it, adjust it and approve. Only then is anything sent, booked or filed.

  3. It remembers what you decide

Every correction becomes the rule for next time. Once a kind of task has gone well for a while, you hand it over step by step, and you check the log afterwards.

What can Bombos not do here today?

Bombos cannot make the client send back the attachment or policy number the same day. The result here is a follow up email. It is not a full check on everything a file is supposed to contain. Which pieces are needed has to be clear from the information available or from your input. What is not in your email or package, Bombos does not know. That is why Bombos can interview you: it asks which pieces are always needed for this type of file, so that next time it recognizes on its own what is missing. When in doubt it puts the question to you instead of guessing.

A proposal can be wrong and needs review before use with the file. Bombos never sends outgoing messages to third parties without approval from a staff member, whatever the channel. For requesting missing pieces that limit is technically enforced. Only Bombos can switch it off, at your explicit request and at your own risk. That approval is also needed to keep something for good in the file. For insurance this covers claims only. Life insurance, disability insurance and health data fall outside this application. The file moves forward once the client knows which piece you still need.

Free, no obligation

Leave your number and we'll call you back to talk through your situation.

A few lines about how things go at your company is enough, or just your number. You won't get a sales pitch but a conversation: what stands out to us, which work could get lighter first at your company and what your team can take on after that. It costs nothing. If we see something worthwhile together, we start with that first piece of work.

We read what you write. Within one working day you hear from the one of us who knows your kind of work best.
