How do you connect JobTread to your inbox so that vendor and subcontractor bills end up on the right job budget?

You put Bombos next to your inbox and JobTread: it reads the vendor or subcontractor bill, finds the job and the budget line and prepares the bill with the reason beside it. A statement that covers several jobs is split per job. After you press Approve in Bombos, the bill is in JobTread. Bombos works next to JobTread, not instead of it.

What Does JobTread Already Do, and What Not?

JobTread gives you a summary of every cost and expense on a job and tracks costs against the budget in real time. You send purchase orders and work orders to suppliers and subcontractors straight from the budget, and they show up there as committed cost. Vendor bills are reconciled with those orders, and you see what is paid, upcoming and outstanding.

The bills themselves arrive in other ways. A subcontractor texts a photo of his invoice to the project manager. The supply house emails one statement that covers three remodels and a service call. A tile setter sends a PDF with the homeowner's name and nothing else. Before any of that is on a budget, someone has to read it, split it and find the job and the line it belongs to.

Bombos prepares that. It reads the email or the photo, splits a statement per job, finds the job and the budget line in JobTread and shows the reason next to each part. Every task below starts with an email or a text and ends, after your approval in Bombos, in JobTread. The vendor bill is the usual first one, because every bill that sits in a phone makes the budget look better than it is. Once that runs, the same lookups carry the next task: a bill that is higher than the quote, a supplier invoice someone retypes today, a homeowner who is late with a payment. Each of these is work your office already does, between the phone, the inbox and JobTread. The photos and statements look alike every time, so what Bombos learns on the first task carries straight over. You start with one task. After that, your own team teaches Bombos the next one, and you do not need to be technical for that.

Bombos creates no bill in JobTread, puts no cost on a budget line and sends no message to a homeowner, vendor or subcontractor until someone at your company has pressed Approve in Bombos. A split statement waits too: each part is approved on its own. It pays nobody. That limit is always on. Only Bombos can switch it off, at your explicit request and at your own risk.

For every step you can read back afterwards what happened and why. For the work inside your office, such as looking things up, checking and preparing, you decide how much Bombos does ahead of time; messages to customers and payments always wait for your approval. A proposal can be wrong, even when the reason sounds believable. When in doubt, Bombos asks instead of guessing.
