How do you connect Contractor Foreman to your inbox so that a supplier invoice becomes a bill on the right purchase order?
You put Bombos next to your inbox and Contractor Foreman: it reads the supplier invoice in the email, finds the purchase order or subcontract and the job, and prepares the bill with the reason beside it. What was delivered and what was billed are set side by side. After you press Approve in Bombos, the bill is in Contractor Foreman. Bombos works next to Contractor Foreman, not instead of it.
What Does Contractor Foreman Already Do, and What Not?
Contractor Foreman ties bills to purchase orders and subcontracts, so costs roll up to the job. You generate a bill from a purchase order with a single click, or several bills when deliveries come in stages. It tracks delivered quantities against what was ordered, so partial shipments and backorders stay visible, and you see what has been billed and what is still outstanding.
The supplier does not know your purchase order numbers. His invoice arrives by email with his own order number, a delivery date and a part of what you ordered. The delivery ticket is a photo in a text from the crew, and the backorder is in a phone call nobody wrote down. Someone in the office puts those pieces together before the right purchase order can turn into a bill.
Bombos does that groundwork. It reads the invoice and the email, finds the purchase order or subcontract and the job in Contractor Foreman, and sets the billed quantities next to what was delivered, with the reason. What only the foreman knows, such as a backorder he agreed by phone, Bombos interviews him about and writes down, so the next partial invoice is checked against it.
Which Tasks Run on Contractor Foreman?
Every task below starts with an email and ends, after your approval in Bombos, in Contractor Foreman. The supplier invoice is the usual first one, because it comes in every week and every partial delivery raises the same question: which order, and how much of it? Once that runs, the next tasks use the same lookups: an invoice that is higher than the quote, a supplier invoice someone retypes, a customer who needs a reminder about a progress invoice. Partial deliveries are where most of the chasing happens today, so that is where the office gets its time back first. What Bombos learns about your suppliers there carries over to every task after it. You start with one task. After that, your own team teaches Bombos the next one, and you do not need to be technical for that.
What Changes in Your Week?
You stop paying for material that has not arrived yet. Each supplier invoice is ready as a bill on its purchase order, with the delivered quantities beside it and any difference marked first. The office no longer asks the crew for delivery tickets on Friday afternoon, and the open amount on each order is right when you look at it. Backorders stay visible until they arrive, instead of living in someone's memory.
That is how you do more with the same team, and the work gets better too, for less than half a day a week of the person you would otherwise hire for the office. We set up the first task with you, with your own Contractor Foreman and your own inbox. After that you can do it yourself.
What Doesn't Go Out Without Your Approval?
Bombos creates no bill in Contractor Foreman, closes no purchase order and sends no message to a supplier, subcontractor or customer until someone at your company has pressed Approve in Bombos. When a delivered quantity and a billed quantity differ, that difference comes to you first. It pays no supplier. That limit is always on. Only Bombos can switch it off, at your explicit request and at your own risk.
For every step you can read back afterwards what happened and why. For the work inside your office, such as looking things up, checking and preparing, you decide how much Bombos does ahead of time; messages to customers and payments always wait for your approval. A proposal can be wrong, even when the reason sounds believable. When in doubt, Bombos asks instead of guessing.
Bombos also works with QuickBooks Online, FOUNDATION, Knowify, and JobTread.
