# How do you connect CINC Systems to your inbox so that email outside CINC reaches the right manager too?

Put Bombos next to CINC Systems for the email that reaches your team in Outlook: it reads what arrives there, looks up the association and the owner in CINC, and proposes the manager with a draft reply. For a reported leak, the contractor's work order is ready as a proposal. Nothing goes out and nothing lands in CINC until you approve in Bombos. It works next to CINC Systems, not instead of it.

## What Does CINC Systems Already Do, and What Not?

CINC Systems already does a great deal here. It offers shared inboxes as part of the team's communication workflow, and its Communication Skill supports categorization, prioritization, context and prepared replies. Residents start requests and work orders through CINC Connect, and Cephai Chat answers their questions about the community's rules and their account. If your mail already runs through those shared inboxes, much of the sorting happens there.

What remains is the email that never reaches CINC. A homeowner writes to a manager's own Outlook address because that is the name on the last letter, a board member forwards a thread from a personal account, a contractor sends photos of a roof leak to an address that is not tied to a shared inbox in CINC. Someone reads those, looks up the association and the owner, and passes them on by hand.

Bombos prepares that remaining work. It reads the mail at the Outlook addresses you add, looks up the association and the owner in CINC, and proposes the manager with the reason and a draft reply. For the roof leak, the work order for the contractor is ready as a proposal. When an arrangement, such as who handles a board's urgent matters, exists only in one person's head, Bombos asks about it and records it, so it counts next time.

## Which Tasks Run on CINC Systems?

Each task below starts with an email in Outlook and ends, after your approval in Bombos, in CINC or in the homeowner's inbox. The roof leak becomes a work order proposal with the photos attached. The forwarded thread from a board member gets an owner and a draft answer. The homeowner who wrote to a manager directly gets a reply, even when that manager is out for the week. The Outlook addresses stop being a second inbox that nobody watches, and what your managers approve ends up in CINC, next to the association and the history already there. You start with one task. After that, your own team teaches Bombos the next one, and you do not need to be technical for that.

## What Changes in Your Week?

Your managers no longer keep one eye on Outlook while they work in CINC. What comes in through CINC stays in CINC, and what lands in Outlook gets a manager's name, a reason and a draft in Bombos, so nothing sits unnoticed in a personal inbox. A board member no longer has to follow up on a forwarded email. The same team does more work, at a higher quality, and you take on new associations without first hiring someone to watch the extra addresses.

We set up the first task together with you, with your own CINC and your own Outlook. Bombos asks which addresses matter and how your office divides the associations, and we write that down. That costs less than half a day a week of the colleague you would otherwise hire. We take you through that first task; after that you can do it yourself.

## What Doesn't Go Out Without Your Approval?

Bombos sends no reply to a homeowner or a board, creates no work order in CINC and forwards nothing to a contractor until someone at your company presses Approve in Bombos. A drafted reply to a forwarded thread waits too. That limit is always on. Only Bombos can switch it off, at your explicit request and at your own risk.

For every step you can read back afterwards what happened and why. For the work inside your office, such as looking things up, checking and preparing, you decide how much Bombos does ahead of time; messages to customers and payments always wait for your approval. A proposal can be wrong, even when the reason sounds believable. When in doubt, Bombos asks instead of guessing.

Bombos also works with [Buildium](https://bombos.ai/en/integrations/buildium/), [AppFolio](https://bombos.ai/en/integrations/appfolio/), and [Vantaca](https://bombos.ai/en/integrations/vantaca/).

All tasks Bombos takes on are listed under [use cases](https://bombos.ai/en/use-cases/).

## Leave your number and we'll call you back to talk through your situation.

A few lines about how things go at your company is enough, or just your number. You won't get a sales pitch but a conversation: what stands out to us, which work could get lighter first at your company and what your team can take on after that. It costs nothing. If we see something worthwhile together, we start with that first piece of work.
